Viktorija (Vicky) Magdusauskiene has been part of the Grayling team for over seven years, progressing from a maintenance administrator role to maintenance manager as the company has grown.

In our previous blog, we spoke to Lettings Manager, Suzanne Diggins, on her role at Grayling. Suzanne shared insight into the resident journey from first enquiry through to move-in. But what happens next is just as important. At Grayling, the focus goes beyond securing a home, it’s about shaping a high-quality living experience day to day.

In this Q&A, Vicky shares a behind-the-scenes look at how maintenance is managed across our Dublin portfolio, and how her team helps ensure that living in a Grayling property is seamless, responsive and reflective of the standards residents expect.

What is your role at Grayling Properties?

I manage the maintenance function across our portfolio, overseeing how resident requests are logged, assessed and resolved.

Everything comes through a central platform where residents can start a maintenance request, upload photos and track progress. From there, I coordinate with our in-house team and contractors to make sure each job is handled efficiently.

The role involves a mix of day-to-day maintenance request management and larger projects. That can include anything from plumbing and roof repairs to more complex work like damp proofing or Building Energy Rating (BER) upgrades.

How has your role developed since joining Grayling?

I joined the company seven years ago when it was much smaller, initially in an administrative role within maintenance.

As the business has grown, my role has developed alongside it. A lot of that has come through hands-on experience and learning from the people around me. Colleagues have always been willing to take the time to explain things and support my development.

That environment makes it easier to take on more responsibility and continue building your knowledge over time.

What does a typical day look like for you?

No two days are the same, which is one of the things I enjoy most about my role.

A typical day involves reviewing incoming maintenance requests, prioritising based on urgency, and coordinating with the team to make sure everything is progressing as it should. Alongside that, I’m often managing ongoing projects, gathering quotes from contractors, and communicating with both residents and landlords.

It’s a very hands-on role that requires constant organisation and clear communication, especially when you’re managing multiple properties and projects at the same time.

How does Grayling approach maintenance and resident communication?

Communication is a big part of how we work.

Everything is managed through one system, which allows us to respond quickly and keep a clear record of each maintenance request. Residents will know their query has been received, and they’re kept updated as it progresses.

We have clear response times depending on the urgency, and the aim is always to acknowledge requests quickly and move them forward without delay.

It’s about creating a process that is consistent and transparent, so residents feel confident in how their home is being managed.

What changes are you seeing in the property sector?

Co-living is probably the biggest shift at the moment.

We’re seeing strong demand for a well-managed, community-focused living environment, particularly among people who are new to the city or working away from home. Developments like Rathmines House and Liberties House are good examples of how that model is evolving.

There’s also a growing role for technology. We’re already using systems to manage communication and maintenance, and I expect we’ll see more use of AI in the future, particularly as a first point of contact to help residents resolve simpler requests themselves.

What do you enjoy most about working at Grayling?

For me, it’s the combination of the work itself and the team environment.

The role is challenging and varied, which keeps it interesting, but it’s also the support from the team that makes a real difference. You’re not expected to have all the answers on your own – there’s always someone you can turn to for advice or a second opinion.

There’s also a genuine focus on work-life balance. It’s an environment where you can do your job well while still having flexibility, which is really important for me.

That balance, along with the opportunity to keep learning and developing, is what makes working at Grayling so rewarding.
